The Constitution of Computer Applications and Quantitative Methods in Archaeology

(CAA) – India Chapter

Chapter title

The full title of the organisation is “Computer Applications and Quantitative Methods in Archaeology – India”. This may be abbreviated to “CAA-IN” or “CAA INDIA”.

The aims of the organisation

●      To create a network of archaeologists, computer scientists, and experts in allied fields of archaeology whose work focuses on the cultural heritage of the Indian subcontinent.

●      To create learning opportunities for students and professionals in the region to enhance their skills.

●      To arrange meets/ talks for students and professionals in India to raise awareness of the mission of CAA-International, to develop relevant skills, and provide an avenue for information exchange.

●      To encourage value addition using computer applications at different stages of archaeological research.

Membership

●      In the first year (i.e., April 2024-2025), annual membership of CAA-IN shall be open to anyone without payment.

●      The steering committee will have the right to charge fees in the future if necessary. The decisions could only be made during AGM.

●      If charged, the amount could only be used for speaker or trainer honorarium, other training requirements, virtual event hosting charges, or for similar purposes. 

●      If required, two-tiered membership is can be proposed for students (including early career fellows) and professionals with different annual membership fee amounts. 

●      Members from domains other than archaeology can also become members. 

●      For prospective members outside India, different membership fees would be defined.

●      Membership of CAA-IN does not include membership of CAA International (caainternational.org). Members who wish to attend CAA’s International conference must become members of that organisation and pay the required fees as mentioned in relevant pages on https://caa-international.org/ 

●      Members on CAA-IN are entitled to the following:

○ keeping their name and address on the mailing list of CAA-IN

○ receiving email communications regarding the chapter activities ○ voting at the annual general meeting

Administration

CAA-IN shall be administered by a Steering Committee.

The Steering Committee shall consist of three officers, namely the Chair, the Secretary, and the Treasurer. The erstwhile members can act as advisor or contribute to the working of the chapter if requested by the steering committee.

One member of the Steering Committee of CAA-IN will be designated, by the Steering Committee, as the representative of the national chapter to CAA international. (ex-officio member of the steering committee of CAA International, and that individual must be a member in good standing of CAA-International, as outlined in the constitution (https://caainternational.org/constitution/).

Tasks of Steering Committee

●      To plan and execute at-least one workshop and one seminar series during the year.

●      Based on the response during the first two years, an annual or biennial conference can be planned starting 2026. This conference can be part of an existing international CAA conference or a separate one.

Annual General Meeting and Elections

i)       Replace only two members during the election. The members can step down voluntarily or randomly chosen to retire. In absence of sufficient candidates for elections (min 2), the same steering committee will continue to hold the office.  ii)       Notice of a General Meeting, together with the formal proposals for discussion and, in particular, any changes to the Constitution, must be posted at the CAA-IN webpage at least 21 days before the date of the meeting. (In absence of website, information will be shared over emails)

iii)          Normally the Annual General Meeting (AGM) shall be held at the annual conference. Attendance at the AGM shall be open to all CAA-IN members, whether or not they are attending the conference. 

iv)         The election of the members of the Steering Committee shall take place at the AGM, normally by show of hands. All nominations must be submitted to the present Steering Committee at least 10 days beforehand and the willingness of the candidate to stand must be demonstrated. 

v)           If it is not possible to hold the AGM during the annual conference, then the Steering Committee shall call a AGM as quickly as is compatible with the required period of notice to members and it shall be held virtually.

Any changes to this constitution must be approved by a 75% majority of votes at a AGM. Such changes shall not take effect until they have been announced to all members online and via email.
